Data Retention

HID Visitor Manager provides an option to control how long information is retained.

  • The system provides an option to select the duration (Retention Period) for which the data remains in the database, from the time it is last updated. For example, if 1 year is selected here, then data time-stamped older than 1 year from the current date will be purged. After selecting the Retention Period, the system will show the total number of data objects (Identity and Visitors) impacted by the next scheduled run.

Below data objects once selected would be processed as per the retention policy.

  • All Terminated Identities: Identities with the status as Terminated will be processed based on the date the identity was last updated/modified. Additional related information to these identities like assigned access areas, access cards, user roles etc. will be deleted/deactivated.

  • All Checked Out Visitors: Visitors with status as Checked out based on the last visit date and who are not part of any recurring visits will be purged. Additional information like assigned access areas, access cards, visit information etc. will be deleted/deactivated.

  • All Audit details and application logs: All the audit and application logs such as mail history, clearance history, session logs, schedule logs, object change logs will be purged.

Note:
  • The retention schedule by default will run at 1 am UTC daily. The number of days for the month and year in the retention period calculation is 30 and 365 respectively.

Retention Logs

Retention logs show the list of purge data. Once the purge is completed, the logs are displayed in Monitoring Application > Retention Logs tab.

On clicking on an individual archive log, a detailed report is displayed.

  • The page will have 3 sub-tabs, there are Identities, Visitors and Audit. On clicking on each sub-tab, the related list of tables will be displayed with ID, Table Name, Archive Start, Archive End, Status and Records Archived columns.
