Event Approvals

Protecting the employees and locations from external risks is increasingly important. By setting up an approval process for visitors, you can perform a background check of the profile and other activities before the event. Approvals can be set for an event at a location level. If approvals are set for an event, corresponding approvers will receive an email for approval.

Location meeting approver

Once an event is hosted and if the meeting approval is set at the location level, then the meeting approver will receive a task for approval on their My Tasks tab.

The location meeting approver can review the event approval request task and approve or deny the event.

  • If the request is denied, the event is not scheduled.

  • If the request is approved, the event is scheduled.

Visitor location approver

Once an event is hosted and approved by the meeting approver, the relevant contractor admins can manage the events by adding other contractor admins from their organization. After the contractor admins add other contractor admins and visitors, the Visitor Location Approver will receive an email about the event details.

The visitor location approver can review the event visitor approval request task (in the My Tasks tab) and approve or deny visitors/contractor personnel.

  • If the contractor personnel/visitor is denied, they cannot be checked in.

  • If the contractor personnel/visitor is approved, they can be checked in.

Assign watchlist reviewer for a location

Once an event is hosted and the relevant contractor admins have added additional contractor admins, employees and visitors from their organization, the watchlist reviewer will receive an email if the visitor's name is present in the watchlist match.

The watchlist reviewer can review the watchlist request and click 'Override and Approve' to approve the request; else click Deny or Pending.

  • If the reviewer denies entry, the visitor is denied access (the event is not scheduled in case of a single visitor event).

  • If the reviewer approves, the visitor is permitted access and the event is scheduled.

  • If the reviewer keeps the visitor on hold (pending), the event is scheduled but the visitor will be denied access until the Event Management Supervisor (EMS) overrides the decision upon verification against the reason stated for the on-hold status.
